A client offboarding email template

How an engagement ends is remembered longer than how it started. This template keeps it short and clear.

The email, in four parts

  • Confirm the end date and thank the client in one sentence.
  • What we will hand over, and by when: assets, the definitions sheet, the change log and the report history.
  • What we will remove: access, connections and shared logins, and the date they will go.
  • The final report date and a contact for questions afterwards.

A made-up example

This confirms that our work ends on 30 November. By 7 December you will receive the creative files, the definitions sheet and the change log. We will remove our access to your ad accounts on 1 December and confirm it in writing. The final report arrives on 5 December.

Tips

  • Send it from a person, not a no reply address.
  • Keep the tone neutral even if the reason is hard.
