An agenda for the first client onboarding call

The first call sets the tone for the whole account. A fixed agenda stops it from turning into a tour of the tools and leaves the client with clear next steps.

Before the call

  • Send a short agenda and the data checklist in advance, so the call is spent on decisions and not on forms.
  • Read the sales notes and the client's brief first. Write the goal in the client's words, not in agency language.

Agenda, 60 minutes

  • 10 minutes, goals: ask what success looks like in six months, and write the answer down word for word.
  • 15 minutes, business basics: margin, shipping rules, returns, seasonal peaks and the products that matter most.
  • 15 minutes, data and access: which accounts and tools exist, and who holds each login. File each gap using the access request process.
  • 10 minutes, decision makers: who approves budget, creative and changes, and how quickly they reply.
  • 10 minutes, the first 30 days: what the agency will do, what the client will receive, and the date of the first weekly update.

After the call

  • Send a summary within one working day: goals, access requests, open questions and the date of the next meeting.
  • Every open question has an owner. Nothing from the call stays in one person's notes.
Made-up scenario: during the call the client says they have only a shared spreadsheet and no tracking access. The agenda catches it early. The access request is filed that day, and the first report is dated after access is confirmed, not before.

Checklist

  • Goals, margin basics, access list, decision makers and the 30 day plan are all written down.
  • The summary is sent, and each open item has an owner and a date.
