Definition

A change request is a written request to change something that was already agreed, such as the scope, the budget, a live ad, a deadline or a report format. It records the change, the reason, who approves it and what it does to time, cost and results.

Example with made-up numbers. Made-up scenario: a client asks to add a second landing page to a running test. The change request states that the test budget stays the same, the new page needs two days of build time, and the test end date moves by one week. The client approves the request, and the new end date is written into the test plan.

How to use it

A change request makes a change visible before it happens. Without one, extra work starts as a favour, the budget drifts, and nobody can say later why a deadline moved. The request does not need to be long. It needs the agreed state today, the proposed change, the reason, the effect and a named approver, so that both sides see the same picture.

Log each request with a number, its date and its status, and link it to the live change it affects. Apply a change only after the approval is recorded. When a request is rejected, keep the record too, because a rejected request can explain why a result or a timeline did not match what was first discussed.
