A renewal meeting agenda template for agency retainers

A renewal is a decision about the next term, not a victory lap. Agree on the goals and the facts before the meeting so that the room only decides.

The agenda, 45 minutes

  • 5 min: purpose of the meeting and the decision the client needs to make.
  • 10 min: results against the goals agreed at the start, with measured and not measured marked.
  • 10 min: what to keep, what to stop and what to test next, with the change log as evidence.
  • 10 min: scope for the next term: channels, tests, reporting and who does what.
  • 5 min: fee and terms, read from the current agreement and the proposal.
  • 5 min: decision, next steps and dates, written on screen as they are agreed.

Before the meeting

  • Send the results summary and the proposed scope two working days ahead.
  • Confirm who on the client side decides, and who must be in the room.
  • Check that the goals were written down at the start of the term, so the results are judged against them.
Made-up scenario: a made-up client renews after a made-up quarter in which the cost per acquisition moved toward the agreed limit, but one product group stayed below its break-even line. The meeting agrees to keep the channel mix, stop one weak test and run a holdout test before any change to the fee.
