An approval queue checklist for client-facing ad changes

A queue of pending changes is a risk when nobody owns it. A checklist keeps each item visible until someone says yes or no.

Keep one queue in one shared place. A queue split across chat threads and inboxes is a queue that gets lost.

Every working day

  • Open the queue and check that each item has a requester, a client owner and a date.
  • Close items that are already done, and note in the log where the change was recorded.
  • Chase any approval that is older than the agreed wait, once, in writing.

Before a change is applied

  • Confirm that the approval covers this exact change, not a similar one.
  • Check that the approval is recent enough to still match the state of the account.
  • Apply the change, run the read-back and record the result on the same item.

When no answer comes

  • Do not apply the change. Silence is not an approval.
  • Escalate to the client's named decision maker, with the change and the deadline restated.
Made-up scenario: an item waits three days with no reply. The team sends one reminder with the exact change and the deadline. The client answers no, and the item closes in the queue with that reason written on it.
